Alerts & Notifications

Every alert Bohari can send, what sets it off, who is told, where it lands (in the app, as a phone push, or by email), and how each person chooses which ones reach them.

An alert is Bohari telling a person that something needs them: a delivery came in short, a licence is about to lapse, a purchase order is waiting for a signature. The system watches for the event, works out who ought to hear about it, and delivers it on the channels that person has switched on. This guide is the full list, so an owner or manager can see in advance what their team will receive and why.

Who is told, and why not everyone

Each alert has a rule for its audience, and the rule is built on what a person is allowed to do, not on their job title. A low-stock alert goes to the people who receive goods and the people who buy, not to everyone with a login. Roles are bundles of permissions (see Roles & Permissions), so if you change what a role can do, you change who hears about it.

Two rules apply across the board:

  • Branches. Where an alert is about one outlet, only people who work at that outlet hear about it. A person pinned to one branch is not told about another branch's stock or variance, because an alert carries real figures. People with no branch restriction, such as Finance or an Admin, hear about every outlet.
  • The person who did it. For most alerts the person whose action set it off is not told. The author of a waste note does not need telling that it is waiting for approval. A few alerts, like the daily summaries and reminders, are not caused by anyone and so reach everyone they apply to.

An alert is also not repeated needlessly. The same low-stock or out-of-stock alert for an item is held back for a day, and each summary is sent once a day.

The alerts

Channels shown are the defaults for a person who has changed nothing. App is the in-app notification bell, Push is the phone, Email is email. Every alert reaches the app and the phone by default; the Email column says which also send an email.

Approvals

Something is waiting for you to accept or reject. These cannot be switched off in the app, because an approver who mutes a summons breaks the control that the approval exists for.

AlertFires whenWho is toldEmail

The daily summary is the one approvals alert you can switch off, since the individual alerts above still reach you.

Where alerts land

In the app. Every alert appears in the notification bell on the web and under the Alerts tab on the phone, with a link to the record it is about.

Push on the phone. Alerts also arrive as a push notification on any phone where the person has signed in to the Bohari app and left Push Notifications switched on under Profile. By default the push shows a generic banner and the detail (who counted what, an invoice's value, a supplier's name) is only visible once you open the app, so it never sits on a lock screen. A person can change this under Profile on the phone, with the Hide Notification Details switch.

Email. An email is added to a queue and sent by Bohari's email provider. If a send fails, Bohari tries again several times over a few hours before it gives up, so a brief provider outage does not lose an alert. Email is on by default only where it matters most to someone who may not be looking at the app: licences and filings, security, account and subscription, and the specific alerts marked Yes in the tables above. For everything else it is off until a person switches it on.

Digests

Some alerts are summaries rather than events, so that a manager reads one message in the morning instead of twenty through the day. All run at 08:00 Nairobi time:

  • Daily summary of what waits for you. What is waiting for you to decide, summed across the outlets you reach.
  • Morning summary of items below minimum. Every item below its minimum at your outlets, in one message.
  • Bottle sign-out still open and Stock count due or overdue are checked on the same morning sweep, and sent as they are found.

Each digest is sent once per day per person, however many times the sweep runs.

Choosing what reaches you

Every person controls their own alerts, in two places on the Profile page:

  • Where alerts reach you. A grid of alert categories against the three channels (In app, Push, Email). Switch a channel off for a whole category. Cells marked Always on cannot be switched off: in-app approvals, and both in-app and email for security and for account and subscription.
  • Which alerts you get. One switch per alert, grouped by category. Switch off any alert you do not need. The alerts that are Always on are the ones marked as such above: the approvals that need your signature or decision (waste, count, purchase order, requisition, cash purchase limit), the two security alerts, and the two subscription alerts.

On the phone, the same two sets of switches are on the Services screen (the centre tab), under Alert preferences. Your choices are per person and per company, and they follow you between the web and the phone. Switching an alert off stops it from firing for you at all; switch it back on and it fires again from then on.

FAQ

Why did I not get an alert about another branch? Alerts about an outlet go only to people who work there. If you are pinned to one branch, you will not be told about the others. Ask an administrator to change your branches if you should be.

Why did I not get an alert about something I did myself? For most alerts the person who caused it is left out, on the basis that you already know. The exceptions are the summaries and reminders, which are not caused by anyone.

Can an administrator switch a person's alerts on or off for them? No. Each person chooses their own. Administrators control who is eligible to be told, through roles and outlet access.

Can I get alerts by SMS or WhatsApp? No. The channels are the app, phone push and email.

An email never arrived. Check the person's Email switch for that category and the switch for that single alert, then the spam folder. If it is still missing, contact Bohari support: the email provider is set up on the platform, not in your company's settings.
